WHAT INFORMATION IS REQUIRED TO PROCESS CUSTOM GEAR ORDERS QUICKLY & ACCURATELY?

To help with this question, we have developed the following checklist. By including this information, your order can be processed with greater precision and efficiency.

1.  CLEAN & ACCURATE PRINT FILES

To expedite the order process, send the best available print files. The preferred files such as DXF or STP files, allow manipulation.

Print files should clearly indicate accurate dimensions, scale, all part features, and application information.

2.  ORDER INFORMATION

▢ Purchase order number is included

▢ Contact information including names and phone numbers

▢ Contact information of technical contact

▢ Was the project quoted? Is quote valid? Is quote number included?

▢ Has this part been produced previously?  Is the previous pricing still valid?

▢ Is there a P/N and the current revision listed on the purchase order?

▢ Was this the revision listed on the quotation or previous order?

▢ What is the requested delivery date? Are there multiple delivery dates?

▢ Is this date in agreement with the lead time offered in the quotation?

▢ What are the financial terms of the order?

▢ Is there any required deposit and has this been submitted with the order?

▢ If there are deposit terms, do you need an invoice to process the initial payment?

▢ Is the ship to address clearly listed on the order?

▢ Are there any specific shipping instructions?

▢ Do we have the exact instructions if we need to contact a person or a website at the time of shipping?

▢ Do documents need to be submitted before shipping?  Is this clearly communicated with the order?

▢ Are there any special packaging requirements?

▢ Are there specific shipping documents required?

3.  PROJECT REQUIREMENTS

▢ Is the scope of the project clearly defined?

▢ Are there multiple drawings (prints) required and are all drawings supplied?

▢ Is there a bill of material listing all required components?

▢ Are there specific quality requirements that are not listed on the drawing?

▢ What are the required quality documents for the project?

▢ Is the material clearly defined?

▢ Are there heat treat processes required? Are the heat treat processes defined?

▢ Are there special processes that require a specific vendor? Has the vendor been defined?

▢ Are there specific tools required for this project? Was this addressed in the quotation?

▢ Are there special gages or mating parts that the customer will supply?

▢ Are there specific handling instructions for gages?

▢ Do the parts need to be plated or coated?

▢ Are the correct specification numbers identified?

4.  GEAR GEOMETRY IS CLEARLY DEFINED

▢ Are all dimensions included, and correct?

▢ Is the number of gear teeth defined?

▢ Do the gear teeth require special explanations?

▢ Is the gear data correct?  Do the listed dimensions agree with industry standards?

▢ Are there modifications to the tooth geometry and are the modifications correct?

▢ Was the depth of the gear teeth defined?

▢ Are there specific tools required?

▢ If the parts contain a spline, was the geometry defined correctly?

▢ Is there a mating parts that needs to be referenced?
